NYS Forum IT Greening Committee
Meeting Minutes

1/22/2009 9:00 a.m.

The IT Greening Committee met at NYSERDA headquarters at 17 Columbia Circle, Albany at 9:00 a.m. January 8, 2009. In attendance were: Steve Baum, Susan Andrews, Christian Grieco, Barry Pardee, Rebecca Buchner, Dave Murphy, Carter Yepsen, Mike Rooney, Heather Saunders, Joe Boroweic, and Peter Hilton. Taking part by phone were: Ellen Kattleman, and Gina Smith.

Steve Baum chaired the meeting. Peter Hilton took the minutes.

Heather Saunders, the EO4 Coordinator for NYSERDA, explained the activities of the E04 committee. She will be distributing some pertinent materials via the Forum IT Greening listserv. Included in what she told us:

The E04 committee is looking at green procurement, implementing sustainability initiatives, and reporting; to further green procurement, they are developing a list of products for which specifications can be developed; specifications for laptops and desktops have been prepared; data centers will be included in the next round; printers must be capable of duplex printing, must allow users to set duplex printing as the default and must default to duplex printing at installation; the committee has an advisory council whose members, along with other information, are provided at; www.ogs.state.ny.us/executiveorder4.html is the web site.

Don Greene is going to provide Rebecca with a list of vendors that she will use for her distribution list when she issues the call for presenters and vendors. The announcement will be in the form of an email with options to choose that will then take the respondent to the correct place to receive and fill out the required information. It should be distributed Monday, going to members of the Roundtable first. Once it is issued, committee members are free to forward it to anyone they feel may be interested.

D & D Consulting has already reserved a vendor table (no. 14) for the conference. As registered members of the Forum IT Greening Committee, it is hoped the following companies will also further show their support by reserving tables:

The floor layout was reviewed. Discussion continued on the best location for the vendor tables and whether the registration area should be moved. Rebecca will talk to Heather about what options are available.

Total time for each session will be one hour.

Greg's letter to National Grid should be sent out today. We are asking them to sponsor Bill Nye as our keynote speaker at a cost of $20,000. We have put Bill Nye on hold for the day of the conference but without National Grid's sponsorship we don't expect to be able to afford him. Projected costs for the conference based on last years experience but without a reception, with afternoon snacks and not including the keynote is approximately $18,000.

The printer is working on a logo.

The next meeting is scheduled for Thursday February 12 at 9:00 at the NYSERDA offices. Regular meetings are planned for the second Thursday of each month at 9:00.
