Meeting Notes
- Welcome - James opened the meeting.
- Follow-up on last months Action Items
- Brownbag - no additional program to report since last meeting.
- COP starter kit. Doug and Mario reviewed a proposal to formalize the CoP starter kit approach. There was much discussion about the workgroup's mission and goals in relation to how the starter kit should operate.
- James reported that Donna had not received much input to the content of a survey of the Listserv to get feedback on needs and suggestions about programs for the coming year. The suggestion was made that Donna should go ahead with a survey she constructs (one approach is to make it open ended to elicit creative input)
- We received positive feedback from the CIO Council in terms of working together. This needs to be capitalized on.
- The focus of the meeting today was around the need to prepare for the Forum's Annual Strategic Planning Session coming up in July. Following feedback from Greg earlier this year that we ensure we are responsive to the stated needs of the Forum and the other workgroups as expressed in their strategic planning initiative, we discussed that we need to make sure that we obtain clear guidance from the Forum's members and workgroups for our 2010-11 initiatives. Specifically, we discussed three key elements for the meeting.
- The need to have in place a workable CoP model with content, to be able to offer that to other workgroups, the objective being that they will incorporate the CoP starter kit into their plans, as appropriate, which would help to enable and facilitate their programs.
- Outreach prior to the meeting to make sure we have input and perspective from our key constituents:
- The ITSDW membership via the listserv
- The CIO Council Workforce Development Committee
- NYS Forum: Greg Benson
- NYS Training Academy
- Business Analysis community of practice (as our first initiative)
- Our approach for the meeting will be to disperse among the other workgroup tables to make sure we understand their objectives and communicate how the ITSDW may be able to assist them, and then come up with some potential areas of collaboration.
- Action Items
- BA Brownbag - James will progress planning for a Brown Bag session we reiterated the need to schedule a from discussions with Greg, he suggested holding a Brown Bag event in early June at the Rockefeller Institute to the 44 folks who voiced an interest in a CoP for BAs. At this event we would launch our CoP Starter Kit and provide them with a structure to determine if they are in fact interested in creating a CoP. We would also ask in the invitation email for folks to self nominate for leadership of this CoP and explain what 'leadership' actually means in the context of various types or models of CoP. -- JN
- ITSD Survey - conduct a survey of our listserv to poll what types of programs they would like to see in the coming calendar year. -- DC
- Talk to Terri Daly of the training Academy about their programs that could potentially be complimentary, including the on-line training assets -- DC
- Meet with a representative of the CIO Council Skills Development Committee to determine how we may be able to interact with them, and the key needs of each group. - DC and JN
- Community of Practice Starter kit.
- Doug and Mario reviewed their proposal for a more structured approach to a CoP starter kit.
- The discussion centered around the elements described in the Google Groups site.
- The consensus was to try to complete as many of the elements as possible to allow for articulation of a CoP starter kit at the Strategic Planning Session.
- To accomplish this, Doug will complete the CoP charter and distribute for comment.
- We will then consider a working session to work through the remaining items, which include the following key content and FAQ's:
- Definition of a CoP
- Is my group ready to become a CoP (interest assessment)?
- Checklist for forming a CoP
- What makes a good CoP Champion?
- Finding the right CoP Sponsor
- CoP Charter
- CoP Proposal Template
- Member Roster template
- Sample letter to manager about involvement on CoP
- Checklist/Logistics for scheduling an initial meeting
- Agenda for initial meeting
- Marketing/Announcement of initial meeting
- Sample exercises/ice breakers for initial meeting
- Checklist for establishing an online forum
- How to establish an online presence
